This Privacy Policy describes how Workline360 (“we”, “us”, or “our”) collects, uses, and protects information when you use the Workline360 Android mobile application (package com.workline360.workline360_mobile) and related services hosted at *.workline360.com.

1. Who this applies to

Workline360 is a business construction ERP product. The mobile app is used by employees and contractors of customer organizations that subscribe to Workline360. Each organization connects using a company client code (for example https://{code}.workline360.com).

2. Information we collect

Depending on features your organization enables and permissions you grant, the app may process:

• Account and identity — username, display name, role, and authentication credentials provided by your organization.
• Biometric authentication — device biometrics (fingerprint / face unlock) may be used locally to unlock the app. Biometric templates stay on your device; we do not receive raw biometric data.
• Location — precise or approximate GPS location for attendance, site check-in, and related field workflows when you grant location permission.
• Microphone / voice audio — voice recordings when you use Aami (chat/voice ERP assistant) or the personal information vault assistant.
• Camera and photos / documents — images or PDFs of bills and documents you choose to upload for scanning and review.
• Business content you create — ledger entries, bills, attendance records, advances, payment history, and other ERP data you submit.
• Device and technical data — app version, device model, OS version, and diagnostic logs needed to operate and secure the service.

3. How we use information

• Provide and operate the ERP and mobile features your organization purchased.
• Authenticate users and protect accounts (including optional biometric unlock on device).
• Record attendance and site-related activity using location when enabled.
• Process Aami questions (chat or voice) against your organization’s ERP records. Aami stays inside the company account.
• Process document uploads for bill extraction and vault scanning.
• Improve reliability, security, and support for the service.
• Comply with legal obligations applicable to us or your organization.

4. Legal basis and organizational control

For workplace use, your employer or contracting organization is typically the data controller for business records processed in Workline360. We process that data as a service provider to deliver the product. Contact your organization’s administrator for questions about retention, access, correction, or deletion of workplace records.

5. Sharing of information

We do not sell personal information. Data may be shared only:

• With your organization’s authorized administrators and users according to role-based access.
• With infrastructure providers that host the service (for example cloud hosting) under contractual safeguards.
• When required by law, regulation, or valid legal process.
• In connection with a business transfer, subject to appropriate protections.

6. Data storage and security

Data is transmitted over HTTPS and stored on secured cloud infrastructure with access controls, backups, and encryption in transit. No method of transmission or storage is 100% secure; we work to protect information using industry-standard practices.

7. Retention

Business records are retained according to your organization’s configuration and applicable legal requirements. Device-local preferences and secure tokens remain on your device until you clear app data or uninstall.

8. Your choices and permissions

• You can deny or revoke microphone, camera, and location permissions in Android settings. Some features will not work without those permissions.
• You can disable biometric unlock in the app or device settings.
• You may request account-related changes through your organization’s administrator.

9. Children

Workline360 is a business application and is not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children.

10. International users

The service is primarily offered for organizations in India. If you access the service from another country, your information may be processed in India or other locations where we or our hosting providers operate.

11. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the app after an update means you accept the revised policy.
